1. Hayley Marie Artistry’s General Working Practices

  • I am available to be contacted by the client at any time, but I will contact you at a minimum at these points: To confirm your booking once deposit has been paid; at our ‘vision call’ after booking; 3 months before the wedding to book your trial in; and 1 month before the wedding to confirm the wedding day plans. 
  • I carry out trials in the week as I reserve the weekends for weddings. In certain circumstances, or when we are not in peak wedding season, I can fulfil trials on the weekend, but this is not a guarantee. Please contact me if you have a certain day you need to book your trial for and I will do my best to fulfil that date.
  • As a mobile hair and makeup artist, at any point of meeting with the client (trial and wedding day), I will travel to you. Under rare circumstances, where it may be too far for me to travel for example, we can arrange a trial at my home in Uttoxeter.
  • As a common rule, I can comfortably do hair and makeup for up to 4 people on the morning of the wedding (approximately 5-6 hours needed). If you are booking me for just hair or just makeup, I can comfortably do up to 8 people. If you need both hair and makeup for more than 4/5 people, please let me know as I can bring on reliable makeup artists to assist me on the day. An additional fee may be required to cover the assistant’s travel and kit supplies (i.e. lashes), and should be discussed with Hayley prior to booking.

2. Securing your booking

  • Your wedding date is only secure with me once you pay your booking deposit and send over your booking form with T&Cs agreed to. I provide my clients up to 7 days to pay their booking deposit. If it is not paid in this time (unless previously discussed with me why it can’t), the date will then be opened up to any potential clients.
  • A non-refundable booking deposit of 20% of the total amount is required when booking in with me. This is then taken off your final amount.
  • If a client books Hayley Marie Artistry within 3 weeks of their wedding date, a full payment is required upon booking.
  • If a client would like a trial before booking, I charge these at 50% of the bridal package price. I, Hayley Marie Artistry, don’t reserve the right to hold the wedding day date without a deposit. If you would like to secure your date, a 20% non-refundable deposit is required before the trial. If you decide not to pay this deposit, even if you have your trial, I cannot guarantee your wedding date will be available after the trial. If the wedding date is still available after your trial, a 20% deposit of your remaining bridal package (plus any bridal party packages) is required to secure the wedding date. If you decide not to book after the trial, but a deposit has been made to secure the wedding date, the trial payment and deposit is non-refundable.

3. Payment terms

  • When booking in, I will send you an invoice with all your payment details and when to pay them. As a common rule, I take a 20% non-refundable deposit of the total amount, 50% of the remaining bridal package at the trial and 50% on the wedding day + the bridal party payments.
  • At each appointment- trial and your wedding day, please organise to have cash or be available to do a mobile bank transfer. I will not accept cheques on the day. If you prefer to pay a bank transfer, you can also pay a week before your appointments with me. Bank transfer details are stated within my invoice.
  • Payment for trials and the wedding day should be made, at the latest, before I leave the venue. I will not leave without payment, so please make sure you have the means to pay on the day or have paid before-hand via bank transfer.
  • By agreeing to the terms and conditions, you agree to pay the prices quoted to you within the packages I previously sent/have been downloaded from my website. I will not offer any discounts/reductions in prices. All payment details are displayed within the invoice and when to pay them. 

4. Travel

  • All travel is included up to a total round trip of 20 miles from my home in Uttoxeter. Anything further will encounter a fee of 50p a mile. Any parking expenses are charged to the client, and I should be made aware of these as far in advance as possible so I can add them onto your final payments. These include, but are not limited to: fuel costs, car parking charges, congestion charges, toll road charges.
  • I am more than happy to travel further afield of the areas I usually cover (Derbyshire, Staffordshire, Nottinghamshire, Leicestershire), including destination weddings, but please get in touch to enquire about my availability for travelling (particularly in peak wedding season). Please note that anything above a 2 hour drive will require overnight accommodation to be provided the night before and this cost will be made aware to the client before booking.
  • As a mobile hair and makeup artist, trials will be held at the client’s chosen location (travel expenses may apply and are charged at the same rate as stated above). Please make me aware of your trial and venue location when booking, so I can add these travel costs on for you before sending over your invoice.
  • A rough estimate of travel costs will be provided upon initial consultation. These are subject to change depending on the location/address provided for both the trial and place of preparation on the day.  

5. Amendments to the booking

  • I, Hayley Marie Artistry, reserve the right to add on any additional travel fees that have not been disclosed at the time of booking (i.e. car parking fees, toll fees, fuel costs should the trial/preparation venue change). The client will be made aware of these fees and an amended invoice will be sent.
  • If you would like to add any members of the bridal party to your initial packages booked with me, please let me know no more than 6 months before the wedding, and I can try to accommodate the best that I can. I will send you a new invoice with the updated payments for your records. I cannot guarantee that I will have the time on the day to do any additional people that were not already stated in the original booking. If I can’t, I will recommend any trusted hair/makeup artists that may be available to fulfil the extra bookings. I am not to be held responsible for any suppliers I recommend. 

6. Cancellation Policy

  • Within my bridal packages, a trial is included. The client reserves the right to move the trial to a different date at any time. If the client cancels/needs to amend the trial within 24 hours of the trial date, a £50 inconvenience charge will be incurred. This will go towards your reservation of your new trial date and needs to be paid in order to secure the new trial date with me. This is subject to Hayley Marie Artistry’s discretion and may be waived in extreme circumstances.
  • Any cancellations apply to, but are not limited to, the following reasons: Covid-19, severe illness, personal emergency or injury, bereavements, relationship breakups.
  • The client can cancel their hair and makeup services with Hayley Marie Artistry up to 30 days of their wedding date. Any cancellations up to 30 days from the wedding will incur a charge of 50% of the total amount quoted within the invoice. Any cancellations within 30 days of the wedding date will incur a charge of 100% of the remaining payment.
  • Hayley Marie Artistry is under no obligation to refund your deposit or any other payments (trial payment) up to the point of cancellation.
  • If the client decides to cancel the bridal hair and makeup services before the trial, the deposit paid will not be refunded and the client will incur the cost of the trial (stated within the client’s invoice).
  • If any member of the bridal party is unable to attend the wedding due to, but not limited to, severe illness, emergency or Covid-19, please make Hayley Marie Artistry aware as soon as possible. If the bridal party member cancels within 48 hours of the wedding, I, Hayley Marie Artistry, reserve the right to keep the full amount paid for the bridal party member. If they cancel at any time before this, for any reason, a £30 (per person) inconvenience fee will be incurred, but no further payment will be charged. Any trial payments for bridal party members will not be refunded if they cancel.
  • In the unlikely event that Hayley Marie Artistry has to cancel due to an emergency, severe illness, Covid-19 or act of god, all payments will be refunded to the client and I will do my best to find you a replacement hair and makeup artist. Any replacement sourced by Hayley will receive a full product breakdown and any photos from the trial so they can replicate the look we created, as best as possible.
  • If Hayley Marie Artistry cancels after the trial, the trial payment will not be refunded (as it is a service I have already carried out), but the deposit will be and any remaining payments will be cancelled.

7. Moving the wedding date

  • Moving the wedding date may apply to, but is not limited to, the following: Covid-19, severe illness, venue policies/closure. The client must be able to provide written proof of the date changing (e.g. written venue policies) and be able to pay the inconvenience fee within 48 hours of disclosing the date change to secure the new date.
  • If the client changes the wedding date, and Hayley Marie Artistry is able to fulfil the new wedding date, a £50 inconvenience fee will be charged to secure your new wedding date with me, and the remaining payments will be carried over to the new date. If I am unable to fulfil your new wedding date, I reserve the right to keep your deposit, but no further charge will be incurred.
  • If the wedding date is moved to the following year (i.e. from 2023 to 2024) a price increase may incur due to inflation price increases on the following year’s packages.
  • If the client changes the wedding date after the trial, and I am unable to fulfil the new wedding date, any payments made up to that date (deposit and trial) will not be refunded, but no extra charge will be given. I will endeavour to find a similarly styled hair and makeup artist for you for your date. I am not responsible for the stylists I recommend.
  • If the client cancels after making the date change, see section 6 for cancellation policies.

8. Client Responsibilities

  • It is the client’s responsibility to make me aware of any skin or hair allergies/sensitivities before the trial. This applies to both the bride and the bridal party. I should be made aware of any allergies of the bridal party before the wedding day so I can source any additional kit if needs be. If I am not made aware of these allergies, I cannot guarantee that I will be able to provide certain services on the day, for example, but not limited to, false lashes (if the client’s allergies prevent me from doing so). If I am not made aware of any skin/hair allergies and sensitivities prior to application, the client agrees that there is no risk of liability on Hayley Marie Artistry.
  • If the client is aware of any allergies or sensitivities and still decides to continue with the services, this will be entirely at the client’s own risk and no liability or responsibility can be accepted by Hayley Marie Artistry, or Hayley Winstanley personally. I will of course make every effort to use hypoallergenic products in these circumstances and all products used are high end, well tested products however, there is always a risk of an unforeseen reaction which is unavoidable and for which no responsibility can be accepted.
  • I fully recommend that the client obtains Wedding Insurance to ensure they are covered in the unlikely event of a cancellation, and the payments made previously to Hayley Marie Artistry, can’t be refunded. Wedding Insurance is applicable to most, if not all, your wedding vendors and will make sure you are covered for a variety of circumstances.

9. Hayley Marie Artistry’s Responsibilities

  • I, Hayley Marie Artistry, am not responsible for any suppliers that I recommend. I have public liability insurance cover and am insured by Salon Gold (insurance certificate can be provided upon request).
  • All brushes, tools and makeup and hair care products are kept sanitary and are sanitised between hair and makeup applications.

10. Photography

  • The client agrees that Hayley Marie Artistry may use any photography for publicity purposes which include, but are not limited to, their website, promotion packages and social media pages. Any objections should be made in writing to info@hayleymarieartistry.co.uk.
